Telephone Instructions & Policies



Telephone Policy

The City College uses a ROLM telecommunications system that allows for various levels of service. Generally, members of the College community with a non-restricted level of service may make calls off the campus to various local or long distance locations. Other lines, however, function on a restricted basis and can be used for on-campus (interior) calls only or for limited area calling.



911 Emergenciestop

Any campus phone dial 9 and then dial 911 in order to connect to NYC emergency services.

Charging Callstop

You may place calls from college phones that will be billed to your personal telephone company calling card or to a number outside the University. All such calls will be routed to the University's designated long distance carrier.
To place a credit card call to all area codes (including 212 and 718)

9+0+area code+xxx-xxxx. Do not dial 1 before area code. Wait for the tone. Enter your telephone company calling card number and the call will go through.

To place a collect call to all area codes (including 212 and 718)

9+0+area code+xxx-xxxx. Do not dial 1 before the area code. Shortly after the tone is heard, an operator will answer and assist you.

To place an international credit call, collect, or third party call

9+00+#. You will reach an operator who will assist you.

Long Distance Callstop

Not all phones have access to all the area codes. With questions regarding long distance please call x7165.

Off-Campus Callstop

  • If not sure of the number, please consult your New York Telephone directory for local information for the New York area. Access to 411 (information) is limited. Please order New York Telephone directories from the Telecommunications Department. When sending your memo, please include quantity, what areas and whether you would like yellow or white pages.
  • Dial "9" to get outside dial tone.

Operator Assistancetop

To reach a City College operator Dial 0
For New York Telephone operator assistance on a local credit card, third party, or collect call 9+0. You will reach a New York Telephone operator who will assist you.
For operator assistance on long distance or international credit card, third party, or collect call

Collect Callstop

It is against college policy to accept collect calls. If collect calls have been accepted, you must call the telecomunications Dept at x7165 for details on how to reimburse the college.

Personal Callstop

As a guideline, personal calls should be limited to two calls daily for a total of ten minutes. These calls must be to area codes within the New York Metropolitan area (212, 718, 516, 914, 201, or 203). All personal calls outside of these area codes and calls beyond the two call, ten minute limit, must be reimbursed to the College by the employee. Situations of personal emergency may require additional time for personal calls. Departmental supervisors receive monthly reports that provide details of each phone call by extension. These reports should be reviewed and personal calls identified for reimbursement to the College. Reimbursement checks should be made payable to the City College of New York and sent to the Telecommunications Department located in NAC 1/502.

Securitytop

To reach security in an emergency , please dial extension 7777 .

Stolen Phonetop

Please report any stolen phone to Security and send a copy of the security report to the Telecommunications Department located in NAC, Room 1/502. Upon receipt of the report, we will replace the phone as soon as possible.

Telephone Repairstop

All telephone service problems should be reported to the Telecommunications Help-Line x8888. Most repairs are completed within 24 hours.

Training on the ROLM Systemtop

Faculty or staff who wish to receive training on the ROLM phone system may call x7165 and a time and date will be set up for in-office training.



Basic Telephone Techniquestop

To Transfer a Calltop

Press your transfer button, dial next extension, then announce call and hang up.

To Conference Calltop

A conference call allows up to eight people in a conference with six internal parties and two external parties. after connecting with first party, press flash button and then dial next extension or 9 and outside number. Then, if you have a conference button press CONFERENCE, if not press the FLASH button then *4 to connect all parties. If conference is refused or line is busy, press CONNECT.

Call Pick Uptop

If in PICK UP GROUP, you may press your pick button twice or **3 to be able to answer ringing extension. If your phones are not in a PICK UP GROUP, then simply press pick once, or *3 then dial ringing extension.

Call Forwardingtop

To allow your calls to be answered at another extension, get dial tone, press FORWARD or #9, dial extension that will be receiving calls and then hang up. To cancel forward get dial tone, press FORWARD button once or ##9 and then hang up.

Camp Ontop

To CAMP on to a busy extension, stay on line then press CAMP or press FLASH #1 and hang up. CAMP button will light up and your phone will ring back when line is free.

Parktop

To put a call on an extension and hold it there, press PARK or FLASH *6, dial new extension number and hang up.

Station Speed Callstop

To assign and make STATION SPEED CALLS, get dial tone. Then press STATION SPEED twice or ##3. Dial STATION SPEED CODE (0 thru 9 can be used to assign codes). Dial 9 and outside number or dial extension number. Then hang up.

Save And Retreattop

In order to save a number you have dialed, get dial tone. Dial 9 and outside number, (if busy or no answer) then press SAVE/REPEAT or FLASH #4 and then hang up.

Consultation Callstop

In order to talk privately with a second party while first party is waiting, press FLASH then dial extension or dial 9 and outside number. To reconnect with first party, press CONNECT.



Phone Mail Basicstop

Phone Mail Access Numberstop

All phone mail users must use their access extension in order to retrieve phone mail messages. You must dial one of the following extensions* to get into phone mail:

  • 8778
  • 8781
  • 8784
If unsure which extension is appropriate, call the Telecommunications Department at extension 7165 for verification.

To Access Phone Mail On Campustop

  • Enter the phone mail direct access number (see number 1 above). The phone system greets you and guides you from this point.
  • Press # if you are calling from your own extension, otherwise enter your extension, then press #.
  • Enter your subscribed password, then press #.

To Access Phone Mail From Off-Campustop

If calling from an outside number dial 650 then the phone mail direct access number from any touch-tone phone.
  • Enter the phone mail direct access number (see number 1 above). The phone system greets you and guides you from this point.
  • Enter your extension number, then press #.

Default Phone Mail Passwordtop

Everyone's password is 111 until changed by going into your personal options

  • Call the phone mail system to access your mailbox.
  • Press 9 for mail box options.
  • Press 3 to change your password.
  • Enter your new subscribed password, then press #.

To Change Your Personal Greetingtop
  • Call the phone mail system to access your mail box.
  • Press 8 for personal options.
  • Press 1 for personal greeting. The phone mail system plays your current greeting.
  • Press 1 to record the new greeting.

To Record a New Messagetop
  • Call the phone mail system to access your mail box.
  • Press 1.
  • After you hear the tone, record your message. After you nave recorded your message, enter the extension you want to send the message. After this the phone mail will give prompts on message delivery.

To Change Answering Modetop

  • Call the phone mail system to access your mail box.
  • Press 8 for personal options.
  • Press 2 to change your answering mode.
  • Press 4 if you want to change your answering mode
  • Press 6 if you do not want phone mail to accept messages.

Remember, change your answering mode only in the event that you are on vacation or on sabbatical and will not be retrieving messages.
